Activity Participation Terms and Conditions
The Peel Forest Outdoor Centre (PFOC) offers a wide range of adventurous activities including: High Ropes, White Water Rafting, River Safety, Abseiling, Rock Climbing, Canyoning, White Water Kayaking and Alpine. Participation in activities at PFOC is voluntary, although participants are supported and encouraged by their peers and instructors to participate to a level which challenges them.
Because of the changeable and unpredictable nature of the outdoors, risks can never be reduced to zero.
Hazards/risks exist in these activities that may result in serious injury or even death. These hazards may include height, moving water, deep water, temperature, remote access, fires, steep and/or slippery terrain, avalanche, tsunami, extreme weather, landslide, rock fall, driving. Our goal is that no harm will occur whilst involved in activities.
By choosing to participate in an activity with us you are agreeing to the following terms on behalf of yourself and/or your child. We require all participants’ consent and parent or guardian’s consent for any person under 16.
- I understand there are risks associated with outdoor activities that cannot be reduced to zero and I have read through and understand the hazard and risk information provided.
- I know I can ask any questions of PFOC during the booking process or PFOC instructors to gain a better understanding of the activity before deciding whether to take part and the final decision about whether to take part or not is mine
- If I decide to take part, I understand the instructor will identify any hazards and risks that are liable to arise and correct procedures to deal with these, and that it is necessary for me to follow these instructions.
- I understand the instructor(s) will take all reasonable precautions to ensure my safety. If I act outside of this advice, then I acknowledge I do so at my own risk and may be instructed to leave the programme or activity.
- I have received enough information to make an informed decision about participation in the programme I am about to undertake.
- I understand that my personal effects are not covered by the PFOC insurance policy.
- I understand I may be charged for items belonging to PFOC I lose or damage.
- I understand that if I am under the influence of alcohol, drugs or other substances, PFOC has the right to stop my further participation on the programme and I have no right for a refund of my fee.
- I have read the information provided to me and agree to act within PFOC’s policies and expectations.
- I understand that PFOC cannot be responsible for storage or administration of my medication, unless specifically requested to do so prior to the activity.
- I consent to the use of photos/videos taken by PFOC during my programme to be used for marketing purposes.
- I understand that photos and videos of participants may occasionally be used for marketing purposes and that PFOC has my consent to use any of me/my child unless otherwise requested not to.

Pre-Paid Bookings
Confirmation
Once we receive your payment and booking, you will receive a confirmation email as proof of your booking.
Postponement/Programme Changes
Due to the unpredictable nature of the outdoor environment, a booking may need to be postponed, or activities or locations may need to be altered.
Though efforts will be made to make clients aware of conditions that could result in postponement or activity change ahead of a scheduled programme, postponements for conditions affecting the safety of the group may be decided at any point, including on the day of or during a programme/activity. Where appropriate, instructors will offer feasible alternative activities or locations, but if an alternate activity or location cannot be agreed upon, the programme will be postponed.
If a postponement date cannot be agreed upon within the current season, the client will receive a refund for the portion of the programme that did not go ahead.
If an alternate activity was agreed upon between the client and Peel Forest Outdoor Centre and run, there will be no refund.
Cancellation/Refunds
Once you receive a confirmation email from us, your activity is booked and confirmed.
If you need to cancel after your confirmation:
More than 28 days out from the booking = Full refund, minus $50 (+GST) administration fee which will be invoiced if you have not yet paid
More than 14 days out from the booking = 50% refund
More than 7 days out from the booking = No refund
Quoted Bookings
Saving your Dates
For Activity-Based Programmes
We will hold your agreed dates until the expiry of your quote. Once the quote has been accepted online, we will then consider your programme booked and the dates locked in. You will be invoiced after the completion of your programme.
For Accomodation Only Bookings
Payment of at least the per night minimum charge is required to save your agreed dates. We require your acceptance of a quote and then will invoice you ahead of your booking.
All Bookings
If the quote is expired, or you have not paid by the invoice due date we can no longer guarantee your discussed dates or the quoted cost.
Please inquire about an extension on your expiry date if you need more time.
Acceptance of a quote means acceptance of all the following terms:
Confirmation
Once we receive a written acceptance of the quote (via email or Xero), we will confirm your program via a confirmation email.
For bookings invoiced ahead of the date, once we receive your payment, you will receive a confirmation email as proof of your booking.
Numbers for Activities
Always book your programme with the maximum number of participants possible in mind. If there is a significant change in numbers prior to your booking (outside of the quoted figure), let us know as soon as possible so that we can provide a new accurate quote.
Participant numbers must be confirmed 7 days prior to your program booking. If your participant numbers are below the quoted minimum numbers, we may be able to requote a lower price.
Within 1 week, our staff are booked and scheduled and the cost is locked in.
Postponement/Programme Changes for Activities

Efforts will be made to make clients aware of conditions that could result in postponement or an activity change ahead of a scheduled program; however, postponements for conditions affecting the safety of the group may be decided at any point, including on the day of or during a programme/activity. Instructors will offer feasible alternative activities, but if an alternate activity cannot be agreed upon, the program will be postponed. Provided the rescheduled date is within the current season, no additional cost will be incurred by the client.
If a postponement date cannot be agreed upon within the current season, the client will receive a refund for the portion of the programme that did not go ahead.
If an alternate activity was agreed upon between the client and Peel Forest Outdoor Centre and has been delivered, there will be no refund.
Payment for Activity-Based Programmes
On completion of your program, we will invoice you for the remaining amount to be paid. Payment is required within 14 working days of the date of invoice. We reserve the right to charge an administration fee of $100 if payment is delayed. For programmes spanning multiple months we will invoice at the end of each month.
Cancellation/Refunds
Once you receive a confirmation email from us, your booking is locked in.
If you need to cancel after your confirmation:

Accomodation Terms and Conditions
It is expected that our accommodation facilities, campsites, and surrounding bush are left clean and tidy in accordance with our Lodge/Cabins Manual. Leave the place as you found it and take all rubbish and recycling with you.
Any additional required cleaning will be charged at $50 per hour + GST.
Anything found broken, damaged or in need of replacement should be brought to our attention upon your arrival. You’ll be charged the cost to replace anything found to be broken or damaged after your stay.
Providing Consent
By checking the “I agree to the Terms and Conditions” box you are confirming that the information you have provided is as accurate and complete as possible and are confirming consent to participate and agreeing to all terms and conditions as described above.
